Frequently Asked Questions
For Travel Buyers and Their Agents
Question: How do I request a demonstration or obtain more information about Uversa services?
Answer: Uversa International is no longer accepting new clients on the Uversa RFP platform. All clients are being migrated to the Lanyon platform. Please click here for information regarding Lanyon products and services.
Please direct any questions regarding client migration to joann.baynes@lanyon.com.
Question: What feature changes can I expect as a result of the migration?
Answer: In planning for the migration, we conducted an extensive analysis of the differences between the two solutions and identified the features in Uversa RFP Runner that were not in the Lanyon Transient RFP solution. We have been implementing these features in the Lanyon Transient RFP solution over the past year and we plan on completing all enhancements by March 31, 2012. The new “super set” Lanyon Transient RFP solution will have dozens of new features from which the Lanyon/Uversa client base will greatly benefit.
If you have questions about specific features or functionality, please contact joann.baynes@lanyon.com.
Question: How long will the Uversa database be operational and what can I access in Uversa once my account has been migrated?
Answer: The Uversa platform will be operational until all clients have been migrated. This process is currently scheduled for completion by August, 2012.
Your account will be maintained in Uversa with access only to reports and spreadsheet builder. If you need to add new information or alter bid information once your accounts have migrated, this should be done in the Lanyon database.
Question: What data will be migrated to Lanyon?
Answer: All solicited bids for contract period 2012 will be migrated in full. For 2010/2011, only accepted bids will be migrated.
Critical account data will also be migrated, including office locations, user-defined questions, NAM (Chain Rep) contacts, selection levels, metro code definitions, solicitation notes, etc.
Question: Will training be available for the Lanyon Transient RFP Tool?
Answer: Yes, you will be contacted prior to migration to schedule a demonstration and training of the new tools.
Question: What happens if there are negotiations that are still in progress when my account is migrated?
Answer: Please be aware that negotiations for each account must be completed by 5:00 PM Eastern Time on the Thursday prior to the week the account is scheduled to migrate. After that time, any negotiations that are still in progress or awaiting a response will need to be re-initiated from the Lanyon Transient RFP tool after the account migration is complete.
It is recommended that you advise your account manager of any negotiations that have not been completed prior to migration of your account so we can set up the RFP accordingly on Lanyon during the migration process.
Question: Once my account is migrated, can I request/re-open negotiation for specific RFPs on the Lanyon Transient RFP tool?
Answer: Yes. Be sure the bid is un-locked first, then simply click on the property name in Lanyon RFP and click on the Request Renegotiation button to define your requested changes and send a notification to the hotel. If you are unsure of how to do this, please contact your account manager for assistance.
For Hoteliers
Question: Will my Uversa ID and password still work?
Answer: The migration of the existing Uversa clients to the Lanyon platform will take place gradually over the next 5 months. During that time the Uversa database will still be operational and your login and ID will still work. Once a client has been migrated, they will no longer appear on the Uversa database list of clients.
Question: How will I know my client has migrated to the Lanyon platform?
Answer: There will be further communication with hoteliers as we move through the integration process. If your client has moved to the Lanyon platform and information is required from you a request will be sent to you from the Lanyon RFP tool with new login information and instructions on how to proceed.
Question: Will I still receive bid requests or negotiation requests through Uversa?
Answer: Yes you may still be receiving new bid requests or negotiation requests from the Uversa clients that have not been migrated to the Lanyon platform yet.
Question: How do I access my password?
Answer: Contact the program account manager via the email address listed in the original notification sent to you via email.
Question: Is my Hotel in the Uversa Directory?
Answer: Click to search.
Question: What is my Hotel Uversa Property Code?
Answer: Click to search.
Question: How do I access my migrated bids in Lanyon?
Answer: Migrated bids will only be available for the client to review with a few exceptions. Active (In Progress/New) bids will be accessible to hotels and NAMs to process. If you are not able to see your bid please contact corporate.support@lanyon.com.
Question: How can I review bids that were account accepted?
Answer: Contact the program account manager via the email address listed in the original notification sent to you via email.
Question: I am new to Lanyon, what now?
Answer: Clients who solicit your hotel(s) will send out communications that will include your login details along with other account specific information to assist you. This will take place as accounts release their programs.
Question: Will migrated Uversa accounts be negotiating 2012 bids they have already accepted?
Answer: Yes. When Lanyon migrated the accounts, we placed them in a new certified channel. Typically, you will not see this new certified account in your master account list until your hotels are solicited for next year’s programs. However, if the travel manager decides to negotiate your 2012 contracts mid-year, the negotiation request will show up in the new account, and not the original account you created yourself. To help segregate these two accounts, we will be adding the year “2012” to the end of the new certified account name. The current bids copied from Uversa will be added in this new account as the starting point of the negotiation.
Question: Can I load the negotiation rates from migrated Uversa accounts from Lanyon to my CRS like I do all other Lanyon accounts?
Answer: Yes. For accounts launched for 2013, the process will be exactly the same, just remember to configure the account in Lanyon to match your system (example: add the chain defined account ID). For negotiated rates in the 2012 contract, these negotiated rates will be coming from the new Lanyon certified account that contains 2012 in the name, and not the original account you may have created last year.
